USER'S GUIDE


Collection/Information Resources 

Our library collection/resources includes  books, journals, magazines, CDs, VHS and  access to the internet.  Our Library's collection is particularly strong in areas of public health, nutrition in health and disease, health administration,  toxicology, occupational health, maternal and child health, communicable diseases, community health and environmental health. The library has also acquired a number of reports on health conditions, health delivery systems and some materials on international health.

General Rules

1.  Food and beverages are not permitted in the library.
2.  Smoking is strictly prohibited.
3.  Library must not be used as classroom, meeting, training and conference  
     venue.
4.  Personal belongings should not  be left unattended; the library is not
     responsible for their safekeeping.
5.  Cellular phones may not be used in the library. Silence must be observed.
6.  Slippers, shorts and sando are not allowed. Users must be in appropriate
     attire.
7.  Books, journals, etc. must be placed in the book truck after use. Don’t leave it 
     on the tables or mis-shelve it.
8.  Any person who shall deface, mutilate, appropriate for himself or steal any
     library materials or property shall be subject to administrative disciplinary
     action which shall be determined by the proper authorities of the Information
     Management Service of the Department of Health.
9.  Have your bags and other belongings inspected by the guard before leaving.

Access to and use of the Library

All DOH employees who wish to borrow library materials must be duly registered in the library

General Public are welcome in the library. However, they have room use privelege only.

Students must present their school ID and a referral letter from their librarian upon entering the library.

Graduates/professional researchers must present valid ID (e.g. Company ID, driver’s, PRC license)

Circulation Policies (DOH Employees only) 

1.   Number of books/journals allowed for lending

Library users who are granted the borrowing privilege can take a maximum of 4 books and 1 journal at a time. If he/she desires to borrow another book/journal he/she may do so provided he/she has returned the previously borrowed materials.

2.    Loan period

Book and journals can be borrowed for a ten (10) day period (including Saturday, Sundays and holidays) and should be returned on or before the last office hour of their due date. However, they can be recalled any time when necessary.

3.     Renewal

Borrowed materials mat be renewed provided no other readers need them and no restraining incidents or circumstances would prompt the Librarian to do otherwise.

All borrowed materials should be brought to the library by the borrower for renewal. 

4.  Overdue

A recall shall be made verbally (personally or by phone) after one day of failure to return the borrowed materials. If there is no response after three days, a written recall notice signed by the Librarian and the Division Chief shall be given to the borrower. 

5.  Lost Borrowed Materials

Any reader/borrower who loses book/journal and other library materials shall replace it within thirty (30) days after it was reported lost. Fine shall be computed until the material is replaced. He/she may replace it with an original copy. If the lost material is not available or is out of print, he/she may replace it with a photocopy but he/she has to pay the equivalent original purchase cost of the lost material. 

6.  Neglect to settle library accountability

Any person who refuses to settle his outstanding library accountability shall:  
a)     not be permitted to use the library  
b)     not have his/her clearance signed by the Librarian

Locating Library Materials

OPAC (Online Public Access Catalog)
The online catalog provides access to books, local periodical articles, CDs, AV materials, vertical files available in the library. The online catalog indicates if the library owns a particular item and gives information for locating the item. It also provide an easy way to determine what materials are available in a particular subject area. 

How to use OPAC

Types of Searching

Our OPAC provides you with two different ways to find the materials/items you need :   

Quick Search   Use this method when you want to search for an author, a title, or a subject.  Quick Search can also be used to perform general, all-category searches.  
Advanced Search Use this method when you want to fine-tune your searches. You can limit a search to any type of catalog information – publisher, call number, publication date or anything else. You can also perform AND, OR, and NOT searches

Quick Search 

From the Welcome screen  click  the quick search tab. You will see the Quick Search screen and it has these buttons:

Search


Enter any valid search term. Then click Search to perform a broad all-category Search.  Athena (name of the software being used in the library) will locate any items related to this search term.

Author

Enter an author’s entire last name or the  first part of the last name then  click author to locate any items written by someone with that name.

Title 

Enter an entire title, the first part of a title, any word or partial word in a title. Then click title to locate any items with that search term in the title.  

Subject

Enter a subject. Then click Subject to locate any terms with that search term in the subject.  

Advanced S earch

From the Search screen click  Advanced Search and you will see the Advanced Search screen and it has the following buttons:

Search After you have entered/typed in the box what to search, click Search to perform the search
Bar Code # To search for a particular barcode number, enter the number in the first box and click Bar code #
Call Number To search for a particular call number, enter the entire call number or the first part of the call number in the first box and click Call Number. Make sure that you enter any leading zeros and embedded spaces. For example, enter 031 instead of 31.

The Search Result Screen 

After a search you find a list of all items that match the search criteria on the Search Results screen. this screen has the following buttons and tabs:

Click Previous to scroll backwards through the search results

Next

Click Next to scroll forwards through the search results.

Go To




Click Go To to move to a particular position in the search results. (When you see the Go to  search result # in the dialog box type number
of the desired title.  
Ex.: Go to the screen containing the 11th title, type 11 then clickOK)

Sort  

Click Sort to reorder the search results.

TAB     

 DESCRIPTION

Search 

Click this to return to Search screen.

Bibliography
 

Click this to create, modify, print or delete a bibliography.

Print 

 Click this to print the search results

Menu

Click this to return to the most recently used menu.


The search result screen provides you with basic information about its title. Just click the bar or the title and you will see the full information about the item. The search result screen will also include an icon showing the item's format and a thermometer showing the item's relevancy. This icon is located on the left side of each bar/title.

Navigating the Search Results Screen

Sometimes you will find more titles than will fit on one screen. Moving up and down through the screen is easy. To display the next screen of search results just click NEXT and click  PREVIOUS to go back to the previous screen of search results

Tips for Finding an Item in the Library

Finding Books, CDs, VHS, etc.

To look for the above materials in the library, use or connect to the library’s online catalog (OPAC), which is where you can conduct an author, title, subject, or word search.

When you find certain item/s that suits your needs, note its call number, location, and status. Generally you need those three pieces of information to locate an item in the library.

Finding Magazine and Journal Articles 

To locate journal and magazine articles you may access the following databases available in the library:

Medline  – a bibliographic database of the National Library of Medicine (NLM-USA) containing citations and abstracts to worldwide biomedical literature including research, clinical practice, administration, policy issues, and healthcare services.  

HERDIN – Health Research and Development Information Network. The CD-ROM contains 23,000 records of bibliographic citations with abstracts and few full-text  of published and unpublished local materials on health and related topics.

Home Index – This database is integrated in our OPAC. It contains bibliographic citations and abstracts of local periodicals that are available in our library.  

When you find an article (from Medline & HERDIN databases) you’re interested in, check our periodical holdings (list of periodicals) to see if the item is available in our library. Pay close attention to dates since our library may not own all issues of a periodical title or may have had interruption in its subscription to a particular magazine or journal. If you can not find the item in our list consult the National Union List of Medical and Health Periodicals to know where or what Library it is available.  

Journals in our library are arrange/shelved alphabetically by title. 

Finding Newspaper clippings/articles

Newspaper articles are clipped and are mounted on a typewriting paper and are placed in folders which are filed in a magazine box. They are arranged alphabetically by subject. You may also search our health news clippings database (http://www.doh.gov.ph/newsclip/search.htm) and download the article/s in pdf format.
